Job Description
LHH is partnering with one of our top clients in the Kansas City area to directly hire a highly motivated and skilled Marketing Proposal Coordinator to join its corporate marketing team. This is a full-time position with a starting annual salary range of $75,000 to $80,000. The Marketing Proposal Coordinator will collaborate closely with the proposal team to ensure the timely and accurate completion of responses to RFPs/RFIs/RFQs, pitches, and proposals, while also maintaining the proposal management software. This role encompasses all administrative aspects of the proposal team, including development activities and compiling the firm’s relevant experience. The coordinator will liaise with various firm departments to gather information and conduct research for pitch materials.
Responsibilities:
Provide administrative support for the corporate proposal team, including maintaining various databases, updating/managing proposal content, and generating/altering proposal templates.
Oversee the review process for all proposal content, including proofreading, updating firm statistics, meeting timelines, and involving appropriate experts.
Assist in preparing daily, weekly, and quarterly reports.
Conduct research to support proposals and pitch needs, utilizing legal research tools and firm resources.
Act as the primary contact for data gathering from other firm administrative departments to collect information for the Proposal Team.
Assist proposal and business development teams with troubleshooting service issues related to SharePoint, proposal software (Qorus Docs), and other software/resources.
Prepare Statements of Qualifications and proposal drafts as needed.
Proofread, edit, and format proposals and other content.
Coordinate with the Compliance Counsel teams for incoming proposal projects, including follow-up and distribution of action items.
Build strong relationships with the proposal team, business development team, senior leadership, and attorneys.
Manage multiple proposal projects simultaneously, and perform other administrative tasks and responsibilities as assigned.
Qualifications:
Minimum of 3 years of relevant professional marketing experience, with 2 or more years in the Legal and/or Professional Services industry (such as Law, Public Accounting, Architectural Construction & Engineering firms) being highly desired.
Bachelor's degree in journalism, communications, marketing, or related experience is preferred; commensurate professional experience will be considered.
Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, Teams, Adobe Acrobat, SharePoint, and utilizing various internet research tools.
Experience with proposal generation/document management software products preferred.
Demonstrated ability to manage multiple projects simultaneously.
Ability to work accurately in a fast-paced environment and adapt to changing deadlines and requirements.
Strong proofreading, editing, and adherence to established style guides.
Excellent oral and written communication skills, outstanding organizational skills, and strong attention to detail.
Skilled team player with the ability to negotiate approvals diplomatically, handle sensitive initiatives confidentially, and maintain composure and quality under deadline pressure.
Ability to think strategically and creatively; can successfully multitask and work independently while being an effective team member
