(Job #544221) Administrative Support Assistant II, Admin Support Assistant II, Hiring Range: $3,067 – $3,220. This is a full-time, benefited, non-exempt, 10/12 pay plan (work 10 months of the year with pay and benefits over 12 months). Position Summary:

Under the work lead direction from the Department Chair, the incumbent is responsible for general office and clerical support of the Art + Film department.

Key Responsibilities:

  • Acts as first point of contact in department office; greets visitors, answers phones, directs calls, and routes messages.
  • Conducts routine tasks necessary for operation of department office, including filing, photocopying, scanning, shredding documents, and processing mail.
  • Monitors department/program email inbox(s) and processes and forwards emails as appropriate.
  • Ensures that necessary office equipment is maintained and operational, and trains and assists users.
  • Creates and maintains department/program forms, lists, and informational material.
  • Assists with coordination and publicizing of department/program and special events.
  • Assists with tracking, monitoring, stocking and distributing supplies and equipment.
  • Assists with performing administrative actions required to recruit and appoint office Student Assistants.
  • Assists with training, providing detailed instructions and work assignments, and monitoring completion of work of office student assistants.
  • Assists with collection and processing of payroll/monthly time vouchers.
  • Assists with organizing and coordinating a variety of department and committee meetings.
  • Attends department/program meetings and assists with ensuring minutes are recorded in a timely fashion.
  • Performs other support duties as needed and assigned.

Knowledge, Skills, and Abilities Associated with this Position Include:

  • Experience to be proficient in performing most or all work assignments.
  • General working knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of office methods, procedures, and practices.
  • Fluency in using standard office software packages.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures.
  • Ability to apply independent judgment, discretion, and initiative to address problems.
  • Ability to perform standard arithmetic functions of a transactional nature.
  • Work often involves front line contacts requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in effectively presenting standard information in writing.

Minimum Qualifications:

Entry to this classification requires fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; an ability to understand standard office procedures; an ability to operate standard office equipment; an ability to learn office technology systems; an ability to perform basic mathematical calculations; and typing and keyboard skills.

These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.

Preferred Qualifications:

Associates degree and one year of progressively responsible administrative and/or clerical experience, including some demonstrated customer service experience.
