Position Summary
The Marketing Project Manager is a key member of the University Marketing & Communications Team, responsible for coordinating, managing, and executing various innovative marketing and communications projects, ensuring alignment and continuity between stakeholders in multiple departments. The Marketing Project Manager will work closely with marketing leadership, creative, digital, web, communications, and research teams, and external vendors to ensure that all projects are delivered on time, within scope, and aligned with the University's strategic goals.
Reporting to the Director of Brand & Marketing Strategy, the Marketing Project Manager is responsible for marketing project intake, organization, communication, troubleshooting, and alignment.
Primary Responsibilities

Document and assign incoming project requests, coordinate, and clarify strategic requirements, and ensure the team has all the information needed to accomplish a task or project.

Coordinate the scheduling, facilitation, and documentation of project kickoff and status meetings.

Help ensure accurate and consistent use of quality and brand standards for all marketing materials.

Facilitate the approval process for project deliverables.

Utilize best project management practices to intake all project plans and relevant supporting details into project management software.

Develop detailed project plans, collaborating with project team members and stakeholders to document timelines, budgets, and resource allocation, to support the execution of marketing campaigns and initiatives.

Serve as the primary point of contact for internal stakeholders and external vendors, ensuring clear communication and alignment throughout the project lifecycle.

Track project progress, identify potential risks, and implement solutions to keep projects on track and within budget.

Facilitate project kick-off meetings, status updates, and post-project evaluations to ensure all team members are informed and aligned.

Utilize project management software to organize tasks, manage timelines, and collect deliverables, ensuring all project activities are documented and accessible.

Collaborate with both teams internal and external to the Marketing & Communications division to ensure that all project elements are coordinated and integrated effectively.

Provide regular updates and reports to marketing leadership on project status, challenges, and outcomes.

Ensure compliance with University policies and procedures in all project activities.

Continuously evaluate and refine project management processes to improve efficiency and effectiveness.

Act as superuser of the project management tool and govern usage of all team members.
Qualifications
Required
-
Bachelor’s degree from an accredited college or university.

Minimum of 3-5 years of experience in project management, preferably in a marketing or creative environment.

Proven track record of managing marketing projects from concept to completion, on time and within budget.

Strong knowledge of project management methodologies, tools, and software (e.g., Wrike, Asana).

Excellent organizational and time management skills, with the ability to manage multiple projects simultaneously.

Exceptional listening and comprehension skills.

Strong interpersonal and communication skills, with the ability to work effectively with diverse teams and stakeholders.

Ability to anticipate challenges, problem-solve proactively, and make decisions under pressure.

Demonstrated successful management of multiple team projects with varied timelines, sometimes on tight deadlines.

Laser-sharp attention to detail and demonstrated commitment to delivering high-quality work.
Preferred
-
Project Management Professional (PMP) certification or equivalent.

Experience in higher education or a related industry.

Familiarity with digital marketing, content creation, and brand management.

Experience working with creative teams, including designers, writers, and digital marketers.

Experience working in a marketing agency.

Understanding of marketing analytics and performance metrics.
