About the JobThe Division of Hematology, Oncology and Transplantation is one of eleven divisions within the Department of Medicine, the largest department within the Medical School and University of Minnesota.
This growing Division currently has 53 faculty, 36 administrative and research staff, and more than 20 fellows.
The Division generates $17 million in patient care revenue and has a strong history of research, in partnership with the Masonic Cancer Center.
The Division's faculty members serve in leadership roles throughout the Medical School, Academic Health Sciences, Masonic Cancer Center, and affiliated health systems.
This position will develop and oversee administration, communications, and operational workflow for assigned programs and projects, including Training Grants such as the Hematology T32 and ASH HFFTP, to support faculty in the Division. The position reports to the Division Administrator but is accountable to the Physician-Investigators and the Fellowship Director. This position will be at least 1-day on site with potentially more depending on the work required.
Manage administration for NIH-funded Hematology T32 research training program (25%)Assist in writing, compiling, and coordinating components of the NIH grant preparation and submissionAssist in compiling and drafting progress reportsAssist in compiling and drafting strategic communications regarding the programCoordination of PSTP and T32 postdoctoral candidate recruitment and onboardingDevelop and coordinate ethics, writing, and career skills curricula in partnership with Department of Medicine (DOM) teamEnsure compliance for meeting/exceeding NIH Responsible Conduct of Research and Diversity Equity and Inclusion (DEI) program requirementsImplement diversity recruitment and retention initiatives, including pipeline coordinationEstablish and maintain a searchable database for current and past trainee career arcs including grants and publicationsDay-to-day administrative program support
Coordinate faculty grant applications (25%)Write and maintain the online bibliographies in myNCBI for faculty NIH biosketchesMaintain and populate datatablesWrite personal statementsComplete Other Support documents in coordination with DOM Grant CoordinatorDraft and compile annual progress reports and other grant materialsProvide back-up support to HOT medical writer
Marketing and Communications (45%)Promotional messaging: Develop promotional strategy and messaging to increase the visibility and impact of HOT research and programmatic efforts to internal and external audiences.Web content: Write original content and curate / edit existing text from other sources to meet strategic communication goals. Collaborate with the DOM Marketing and Communications team on projects and other efforts. Manage and enhance HOT division websites.Mass communications: Collect information and generate ideas to draft quarterly newsletter content.Communication Strategy: Develop measures to assess the effectiveness of communication plans in meeting strategic goals and utilize assessment data to inform future planning. Encourages the adoption of best practices, alignment with market trends, and emerging technologies.Assist with the development, coordination and project management of HOT communications to include clarifying business needs, target audience and timelineWork closely with DOM colleagues and key stakeholders to evaluate existing communication channels (e.g., emails, websites, etc.) and implement improvementsSupport communication measurement activities, including providing results to stakeholders, monitoring trends, and maintaining best practices

Qualifications
