Event Conception, Planning, Coordination, and ManagementBring event expertise and creative ideas to the College.Audit, assess, and make recommendations for new and existing events and for a purpose-driven event strategy. Offer ideas for everything from branding to experience.Collaborate with others to design, coordinate, plan, manage and execute all events, whether in-person or virtual, including location/site selection, catering/food, audio/visual and other technical support, transportation, and onsite speakers/entertainment, itinerary management, event staffing and coordination of volunteers, event set-up, and clean-up. Events include (but are not limited to): Homecoming weekend, Major Giving Donor Events, Hail Yeah! Student Day of Thanks, Alumni and Friends Receptions, Events for the Capital Campaign, White Coat Ceremony, Faculty and Staff Engagement Events, Welcome and End-of-the-Year Picnics, Advance to Candidacy, Research Forum (PharmD) and 3MT (PhD), PharmD banquet, PharmD and BS Commencements.Upcoming events that will require brainstorming and planning: the launch of our new building, and the College's 150th Birthday.Bring new ideas to help build a sense of community across the College, our programs, and all stakeholders (prospective/current students, faculty, staff, donors, and alumni). This may come in the form of new events or additions to existing events.Collaborate with Finance, the Director of Marketing, departments, and the senior leadership team on contracts and costs that align with college and university policies and procedures, while employing creativity to produce the desired experience for participants.Create and document processes, templates, and briefs for events to generate efficiencies in future planning.Collaborative mindset and a team player who builds and maintains good working relationships with speakers, visitors, vendors, university and college colleagues, and service units.Maintain inventory of college collateral and swag, including managing and updating our online swag store with seasonal offerings.Carry out events on time and budget.Event Execution, Logistics, and On-Site ManagementEnsure all event setup, details, logistics, and run of show are operating as planned.Solve problems spontaneously.Serve as the point person when attending events.Work with others to evaluate event success, assess results, and make recommendations (event debrief).Marketing administrative support and other duties as assigned:At the discretion of the Marketing Director, there will be a variety of additional projects and marketing opportunities to work on during event planning downtime. Some examples include assisting the marketing team with daily activities such as organizing digital files, digitizing content, submitting expenses, monitoring the central email address, and learning and executing marketing campaigns and communications tactics.Required Qualifications:
Bachelor's degree in hospitality, marketing, or related field.Event planning experience may be considered in lieu of a bachelor's degree.3-5 years of varied event planning, coordinating, execution, and management experience.Knowledge of project management system like Trello or similar.Demonstrated method for creating and outlining project plans to keep the team on track and ensure all deadlines, whether internal or external, are met, from event ideation and design to event takedown and debriefing.Thrive and work in a team environment.Track event details and expenses, develop proposals, and manage events within budget.Customer service, bringing event best practices forward, quality, and a collaborative approach to work.Transport items such as tradeshow cases/containers, setting up/takedown large wall banners, and moving furniture (i.e. tables and chairs) for proper room setup.Experience working in higher education, a plus.Experience with University of Michigan policies and procedures, a plus.Market to a consumer audience, a plus.Available to work outside of business hours, on weekends.
