Description
JOB DESCRIPTION
ADMINISTRATIVE DUTIES & CUSTOMER INTERACTIONS:
• Once an event goes definite, update the event lifecycle in the CRM (Client Relations Management), and ensure tasks are set for the event.
• Make updates to event orders as directed
• Schedule details meetings with event clients and the Director of Sales
• Ensure each event has event signage (chalkboard/directional signage)
• Create Events Packets for the Events team with event orders, captain reports, menus, place cards, event diagrams, etc.
• Request final payment and signed event orders
• Distribute weekly event orders & prepare for weekly sales event order review meeting
• Respond to voicemails, emails, and other correspondence as received and/or assigned.
• Data entry for events, contests, etc.
• Keep up with daily tasks, as assigned, in the CRM
• Maintain accurate, organized e-files and archives
• Receive visitors and courteously handle inquiries, directing them to the proper manager for assistance.
• Conduct site tours as assigned, or as needed.
• Interact with clients in the absence of the Director of Sales & Marketing.
FINANCIAL
• Process event deposits on CRM and Point of Sale System (POS)
• Finalize events in CRM
• As needed, post charges for events in POS after event has concluded based on final attendance & beverage consumption.
• Actualize events in the clubs CRM Software to match the POS
• Send final invoices post event, as well as thank you and evaluation
• Process/forward any purchases made online.
COMMUNICATION & MARKETING:
• Keep marketing collateral and signage up to date in the restaurant, online, in the golf shop and around the course.
• Assist with marketing campaigns, event invites, event flyers, etc.
• Assist in online promotion of special events and tournaments respective to which outlet is being utilized (email, social media, google, and on site).
• Plan and assist in execution of the Marketing calendar along with the Director of Sales & Marketing
• Take photos of special events and keep organized photos to be used for Social media, Newsletters and promotion of events.
• Complete Customer Engagement Data report (CED) with the Director of Sales Assistance (3 x per month)
• Manage web presence including but not limited to; posting on Social Media channels, updating & maintaining, Google Business, increasing social media following, updates to the business websites (bennettvalleygolf.com & ironandvinebennettvalley.com)

QUALIFICATIONS
• Self-motivated & a quick learner. Ability to quickly learn and use specialized software as needed.
• Professional appearance.
• Experience managing social media accounts, creating engaging content, and analyzing data to measure the success of your campaigns.
• Excellent communication skills, creativity, and strong attention to detail. Must be able to work in a fast-paced environment.
• Highly organized, detail oriented, and exemplary time manager
• Excellent written and verbal communication skills.
• Strong typing and data entry skills.
• A service-oriented attitude and philosophy
• Ability to adjust well to change, with changing needs of the organization.

Proficient in using computers and common software applications; e.g., Microsoft Office (Outlook, Excel, Word), Internet browser, POS Systems, CRM Systems, Canva, etc.
Salary Description
$23 per hour
