Description
List of General Responsibilities:
- Oversee daily office operations including maintaining a professional office appearance, distributing and processing mail, maintaining equipment, ordering office supplies and forms, processing accounts receivable, handling cash sales, copying and filing. Answer phones, handle enrollments, scheduling of classes and/or seminars, greet visitors and clients, schedule appointments, orient clients/students to department services, respond to information requests and assist with client communications.
- Direct and manage special events, parties, meetings, conferences, and seminars and coordinate the internal and external communication of company events.
- Plan, organize and coordinate company events with vendors, participants, and sponsors.
- Organize and assist with event set-up and follow-up.
- Prepare event budgets, plans, schedules, follow-up surveys, and tracking mechanisms for events.
- Prepare, negotiate and oversee event-related contracts including vendors, sponsors, and suppliers.
- Book and schedule facilities, entertainment, speakers, and catering.
- Organize and maintain department files, records, and budgets for special events.
- Provide support as needed with event locations, room set up, food guarantees, etc. for events planned and organized by other departments within the company.
- Provide administrative support for the marketing department and agents, as needed. Duties may include recognition programs, processing marketing requests and orders, scheduling, data entry and other tasks as assigned.
- Data entry, maintain and monitor data files, create files and documents, produce reports, process and verify paperwork, prepare billings, process invoices, proof documents, prepare mailings, prepare packets and maintain supply in inventory, handle correspondence.
- Perform any additional responsibilities as requested or assigned.
Qualifications:
Education:
- High School diploma or equivalent.
- Associates degree in business or related major preferred.
Experience:
- Three years administrative assistant experience.
Knowledge and Skills:
- Outstanding communication skills including listening, verbal and writing skills to process information timely and accurately.
- Ability to manage multiple tasks simultaneously and prioritize effectively.
- Strong sense of personal urgency with attention to detail.
- Proficiency in Microsoft Office computer applications.
- Effective interpersonal skills, organizational skills, a customer-service focus, and the ability to work as a member of a team-oriented environment.
- Detail-oriented with the ability to work independently and responsibly with minimal supervision.
