Posting Information Position Title Administrative Assistant-Music Position Type Staff FTE .75 General Employment Period August-July General Work Schedule (days of week) Monday-Friday General shift hours has been 9am-3pm but could change with new hire, depending on their needs Benefits Eligible? Yes Job Summary/Basic Function The administrative assistant for the music department at Concordia College serves as primary administrative support for the department chair and faculty, as well as providing students and the public with information about department events, policies, and procedures. This position is one of 4 staff positions in the department, working as a team with the Music Enrollment Coordinator, Instrumental Ensembles Manager, and Choral Ensembles Manager.Specific duties and their approximate percentage of the position are listed below:
1. Budget: (40%)
- Manage department budgets in Excel/Banner with oversight from department chair, including Music Department, Choral Groups, Choral Tours, Choral Festival, Instrumental Groups, Instrumental Tours, Instrumental Festival, and Concordia Recordings
- Process invoices for Choral, Instrumental, and Music Department budgets
- Process P-Cards for Choral, Instrumental, and Music Department budgets
- Process journal voucher transfers/direct payment vouchers/expense forms
- Maintain current, accurate, detailed budget records, and meet regularly with department chair and staff to review and reconcile transactions against budget plans
- Assist department chair with budget analysis, budget development, and year-end procedures
- Provide a friendly, helpful demeanor and agreeable public face to the music department through in person, email, and telephone interactions
- Answer phones, respond to messages, answer questions, provide information, and guide people to the appropriate person or office for their needs
- Coordinate scheduling of rooms for classes, rehearsals, lessons, etc. using Event Management System
- Design and coordinate printing of programs and posters for student and faculty events
- Manage process for student recital requests, including printing and distributing forms, ensuring approval, collecting fees, and scheduling rehearsals/recitals/receptions
- Recruit, interview, hire, and train student workers for work in the office and recital stage managing and recording
- Supervise and guide office workers with tasks, projects, prioritization, and protocols. Develop and update worker schedule as needed
- Oversee and serve as a resource for student stage manager/recorder supervisors
- Provide support to student ensemble librarians
- Approve and process time sheets, work certifications, and other related forms
- Manage office equipment (copiers, fax machines, printers, telephones, etc.) and maintain contacts with vendors/repair technicians
- Assist with developing and optimizing use of technology in the department
- Restock and order supplies
- Maintain computer inventory and coordinate communication for problems
- Coordinate requests regarding department furniture
- Monitor building maintenance and communicate with Facilities Management
- Coordinate practice room sign up
- Manage posters and other signage in the building
Excellent organization and communication skills
English language fluency
Strong basic math and computer skills
Eagerness to work with a variety of people

Salary – $16.80 – $19.80 per hour
The final salary will be determined based on factors such as education, experience, skills, certifications, and alignment with the position’s requirements. Other considerations may include internal equity and market conditions.
