Join PBM as a Community Manager

We’re looking for an experienced, proactive Community Manager to lead operations for our clients with a blend of regulatory knowledge, attention to detail, and a people-first approach. This role requires an individual who’s not only familiar with Florida’s Condominium Statutes but is also committed to providing reliable, responsive support to our boards and residents alike.
Key Responsibilities
1. Guiding Board Compliance and Knowledge
- Stay current on Florida Condominium Statutes and ensure all Association operations align with these regulations.
- Maintain an in-depth understanding of community governing documents, including Declarations, Bylaws, and Rules.
- Participate actively in continuing education to provide knowledgeable guidance and maintain compliance.
2. Consistent Performance Feedback and Development
- Hold weekly check-ins with the Board President (or designated member) to review current projects and upcoming priorities.
- Conduct annual reviews with the Board to discuss performance, accomplishments, and goals for compensation adjustments.
3. Organized Record and Date Management
- Track and update the Board on critical dates, including contract expirations, insurance maturities, and other relevant timelines.
- Maintain thorough records, including a property maintenance log, inspection checklist, unit files, and Association profile.
- Ensure records are well-organized and readily accessible in accordance with Florida statutes.
4. Financial Oversight and Reporting
- Prepare monthly financial statements for the Board by the 20th of each month or as specified in the contract.
- Oversee and approve payables, provide recommendations on reserve investments, and draft annual budgets in accordance with Florida Statutes.
- Distribute financial statements to unit owners as legally required.
5. Facilitating Effective Board Meetings
- Draft agendas, prepare Board packets, and organize management reports for each meeting, ensuring all information complies with Florida statutes.
- Deliver updates on projects, upcoming contract renewals, and other critical information to keep the Board well-informed.
- Manage all owner communications as needed, proofing and reviewing all notices to ensure clarity and accuracy.
6. Assisting with Unit Owner Delinquencies
- Advise the Board on necessary actions regarding delinquent accounts and provide monthly updates on their status.
7. Responding to After-Hours Emergencies
- Answer after-hours emergency calls promptly, ensuring residents feel supported and secure in times of need.
8. Managing Property and Vendor Relationships
- Conduct thorough property inspections to identify areas for improvement and ensure all contracts are being fulfilled.
- Lead bid collection for vendor contracts and projects, providing the Board with well-researched options for review.
- Oversee property projects, maintain clear communication, and update the Board on progress and key developments.
9. Supporting Residents and Enforcing Policies
- Address resident issues with empathy, adhering to property policies, governing documents, and Florida Statutes.
- Keep residents informed of key property events with clear, timely communications approved by the Board.
- Ensure all community policies are respected and enforce fines as needed for violations.
