Position SummaryThe Marketing Coordinator supports the marketing management and business development teams on assigned projects, reporting to the Senior Marketing Manager. The role involves routine daily activities, such as gathering, organizing, formatting, and distributing information to team members and clients. Strong written and verbal communication skills, the ability to work independently and as part of a team, and effective time management are essential. The Marketing Coordinator's focus on the proposal process from concept through completion is integral to the company's success. Extreme attention to detail, the ability to manage multiple projects and tight deadlines, as well as the ability to engage with team members is crucial. The Marketing Coordinator routinely prepares proposals and executes sources sought/RFI, standard proposals, and generates general marketing materials consistent with branding with minimal input. The position works collaboratively with the internal team and outside subconsultants to initiate and execute the proposal process, assign tasks appropriately, develop content, and ensure the information received and developed is compliant, timely, relevant, and accurate. Success in this position requires an eye for detail to ensure content and format are of the highest quality before returning to the team for review and/or to the client for timely official submission. Key TasksThe following is a general list of tasks that fall under the areas of responsibility of the Marketing Coordinator. It attempts to present a comprehensive, but not complete, listing of potential assignments that may be undertaken.• Support the proposal process from inception to completion when a go decision is determined, including the creation of a complete and comprehensive compliance matrix and proposal outline, developing a schedule with critical milestones, engaging with internal clients and outside consultants, and delegating tasks appropriately to meet deadlines• Work closely with internal team and outside subconsultants to craft content and engaging messages while answering the specific proposal requirements• Develop written and graphic content for proposals and general marketing materials• Follow Shipley (or similar) proposal development, review process, facilitate proposal kickoff and conduct regular status meetings• Organize and support proposal reviews• Support the development of Interview presentations and team preparation as required• Research technical information to write articulately and persuasively• Prepare, coordinate, and produce qualifications packages, task order response notices, proposals, presentation materials, general marketing materials, and award competition entries on time and of top quality• Coordinate and process input from multiple team members while at the same time weaving multiple author narratives into one cohesive voice• Develop and maintain written content, including project descriptions and information, staff resumes, photography, and past performance• Contribute to library of proposal templates to streamline requests and improve deliverables• Support maintenance of proposal tracker, database of proposals, tasking lists, track deadlines and timelines for Proposal Submission• Support communication outreach efforts, such as award submittals, client events, white paper or presentation development, tradeshows, branded collateral, etc.• Other duties as assigned

Education and Training Requirements:• 5+ years of proposal/marketing experience at an architect, engineering, or construction firm• Federal proposal experience (SF330, D/B, Construction formats), preferred• Bachelor's degree in marketing, Communications, English, Journalism, Creative Writing, Business Administration, Architecture, Engineering or a related field. (or equivalent professional experience)

Skill and Competency Requirements:• Expert level proficiency/experience with MS Office including Excel, Word, and PowerPoint• Expert level proficiency/experience with Adobe Creative Suite (Photoshop, InDesign)Self-starter, highly motivated, enthusiastic, and is good at multi-tasking in a fast-paced environment• Excellent verbal and written communication skills - writing (including technical) and editing are essential• Knowledge of the principles and practices of the proposal development process, including technical research, writing, and editing, coordination of data from subs, and ability to harness all resources, weaving together a compelling story• Customer Service - able to personally provide a high level of interactive service to a targeted customer base/market, building relationships and acting as an internal company advocate• Team Orientation & Interpersonal - highly motivated, passionate, and creative team player with the ability to develop and maintain collaborative relationships with all levels within and external to the organization• Excellent organizational skills, with special attention to detail (triple check work before publication), and time management are essential• Experience developing communications/PR initiatives, including social media platforms such as Facebook, Twitter, Instagram, LinkedIn, Snapchat, etc.• Ability to understand RFPs, RFIs, RFQs, Amendments, Sources Sought Notices, and other proposal-related documents• The ability to work in a fast-paced, deadline-driven environment and display professionalism• Ability to prepare and engage in presentations to management, teaming partners, clients, and others
