Job Summary

Reports to and provides sales/administrative support to the Director of Sales and the F&B Department. This position supports sales, catering, marketing, food & beverage and special events contributing to successful achievement of budgeted room and food & beverage revenue for the properties. The role will be highly focused on providing excellent service to internal stakeholders and guests.

Along with administrative responsibilities, the role will coordinate the group reservations processes, assist with inquiries, interact with clients during site inspections, the contracting process, during planning phases and on property support, and utilize proprietary technology to track productivity.

The role assists with planning special events at the Way Station along with the food & beverage team. This includes general marketing and day of event support which requires a flexible work schedule.

The role supports marketing and coordinates efforts with the corporate office and property-based team. This includes but is not limited to supporting agency efforts, assisting with collateral fulfilment, capturing content for marketing purposes and being a Brand champion for marketing initiatives.

Job Responsibilities

Performs various administrative duties for Sales/Food and Beverage such as coding and submitting invoices, answering phones and e mail, arranging special events, scheduling conferences and banquets, handling information requests, and other similar tasks.

Prepares regular and ad-hoc summaries and reports distributing throughout the hotel, as necessary.

Completes special projects and related duties as assigned by the General Manager, Director of Sales and Food and Beverage.

Develops and maintains current office record-keeping and accounting including maintenance of all Brand systems.

Ensure prompt and courteous service is extended to both internal and external clients.

Support marketing initiatives with the Director of Sales to ensure timely execution of strategies.

Communicate and work closely with the Director of Sales concerning group bookings. Work closely with Food and Beverage on special events. Is flexible with schedule and attends all special events, helping with production and technology assistance (including sound as required).

Attend group pre-conference meetings and special event planning meetings.

Assist with site inspections, property tours, and client entertainment.

Handle all special reservations, to include VIP reservations, VIP functions and special event VIPs, Performers and Vendors.

Master strong working knowledge of hotel systems, including STS, FOSSE, Micros, MARSHA, MGS and all Brand tools.

Build group room blocks in hotel systems and work with Director of Sales and clients to manage the group booking and service process from contracting through to post group operation using Marriott Brand and hotel standards for all aspects of the group sales journey.

Liaison with Owners-designated special event and food and beverage Lead as appropriate.

Assist with publicizing special events within the hotel as well as the neighborhood with effective marketing strategies.

Maintain/order current printed sales and promotional collaterals and office supplies.

Champions social media for Townplace Suites, Fairfield Inn and the Way Station. Coordinates with other departments within the hotel to ensure distribution of important information and responses.

Attend all Sales and Special Event meetings.

Have basic knowledge of hotel rates, strategies, discounts, and promotions.

Develop strong customer relationships through appropriate client communication and the use of professional, courteous, and ethical interpersonal interactions.

Maintain well documented, accurate, organized, and up to date file management to service client and employer in the most expedient, organized, and knowledgeable manner.

Performs other duties as required.

Job Qualifications:

College degree preferred or equivalent experience.

3-5 years or more of hotel, food and beverage, marketing or related experience preferred.

STS certified preferred by not required.
