Department Information

One of the largest, oldest, and most comprehensive programs of its kind, the Borns Jewish Studies Program in the College of Arts and Sciences (The College) at Indiana University is a premier hub for Jewish Studies. The Program is committed to fostering leadership skills, civic responsibility, and academic achievement through rigorous interdisciplinary study of Jews and Judaism. Our distinguished faculty, talented students, outstanding staff, almost 1,000 accomplished alumni, and supportive community, work together to ensure the best possible experience for our students. The interaction of our 21 faculty members working in musicology, history, biblical study, Yiddish and Hebrew language and linguistics, political science, comparative literature, the history of art, the study of ancient Jewry and more, makes for an enormously enriching and stimulating atmosphere.

The Borns Jewish Studies Program also features 2 active and well-regarded centers: the Institute for the Study of Contemporary Antisemitism, and the Olamot Center for Scholarly and Cultural Exchange with Israel.

Job Summary

Under the supervision of the Program Administrator and Fiscal Officer and the Assistant Program Manager, this position will provide communications, administrative, and events support to the Institute for the Study of Contemporary Antisemitism and the Olamot Center (Centers) and their directors.

Department-Specific ResponsibilitiesProvides communications, administrative, and events support to the Institute for the Study of Contemporary Antisemitism and the Olamot Center (Centers) and their directors, as well as the Jewish Studies Program as connected to the Centers' needs.Facilitates outreach efforts for the Institute for the Study of Contemporary Antisemitism and Olamot, including social media management, website updates, and donor relations.Organizational assistance in research and outreach projects.Works with Center Directors/Assistant Directors on event planning, including the Beinner Family Speakers Series (ISCA): schedules webinars/lectures, oversees technical logistics, designs event flyers, communicates with speakers and attendees.Oversees the Olamot Book Series with IU Press, and assists with ISCA publications. Assists with correspondence between authors, translators, outside publishing companies, and IUProcesses requisitions/Pos/contracts; manages invoice process for payments. Reviews accounts to ensure expenses align with funds budgeted.Coordinates with Directors/Assistant Directors on new temporary hires. Corresponds with students and scholars to request completion of onboarding items and explains HR policies.Processes required IUHR e-docs, including background checks and I-9s for onboarding. Works with Office of International Services as needed when Visas are required.General ResponsibilitiesEvaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.Organizes office operations and procedures, such as creating Word or Excel files, bookkeeping, and preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other office services.Oversees opening, sorting, and routing of incoming mail, answers correspondence and prepares outgoing mail.Purchases and maintains office supplies and equipment, as well as budget expense control.May be part of a team to select and train other staff and allocate tasks and assignments to lower-level appointed staff and monitor their performance.May assist with administrative needs related to the daily operations, planning, and implementation of various or multiple student services or department initiatives.May work on office projects engaging others to collaborate and accountable to see through to completion.May perform other duties related to maintaining an internal website and/or working with social media.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
