The Office of Field Education (OFE) seeks a Website and Communication Coordinator who is confident working in learning management systems and CRM software, and can be a trustworthy partner in a range of communications and administrative tasks supporting our team, our students and our 300+ community partners. The Website and Communication Coordinator reports to the Assistant Director of Field Education, and works in close partnership with OFE’s Program Operations Specialist to manage student and partner communications, and process field education plans, contracts, and related workflows. As a large program with a complex and fast-moving academic calendar, this position requires an ability to manage multiple projects at a time, strong communication skills, flexibility, responsiveness, and a sense of humor. DUTIES AND RESPONSIBILITIES

Data/Website Management

Work with the Program Operations Specialist to develop workflows for data management in the CRM system(s), and provide training and support to OFE faculty to ensure workflows are consistently followed.

Process field education plans, contracts, and evaluations, ensuring accuracy and attending to unique timelines for each BASW and MSW cohort (Bachelor’s, Master’s, full-time, part-time, etc.).

Safeguard sensitive student data in accordance with FERPA.

Develop content for and maintain the OFE webpages in Canvas–a primary tool for disseminating information to BASW and MSW students.

Solicit partner data from 300+ practicum sites, ensuring accuracy of listings in CRM system.

Develop content for and maintain the Field Instructor Training (FIT) website, in partnership with the FIT Committee, and assist community partners in accessing the site as needed.

Efficiently organize and archive online course materials to make them accessible for OFE faculty.

Assisting with data analysis and reporting as needed.

Communications

Partner with the Program Operations Specialist to develop and manage a calendar of time-sensitive email and Canvas communications regarding practicum tasks and timelines.

Develop clear and concise digital content for OFE websites that aligns with SSW values.

Write and schedule messages to students via the learning management system (Canvas).

Respond efficiently and professionally to general inquiries from a variety of OFE stakeholders.

Ensure digital content and communications are aligned with SSW values and branding.

Build out the OFE newsletter to support internal communications with the larger SSW community about the work of our office, highlighting student work and successful partnerships.

Collaborate with the OFE Administrative Team around internal communications to OFE faculty, highlighting updates regarding practicum policies, tasks and timelines and sharing vital updates regarding the status of practicum placements.

Collaborate with the team to develop digital marketing materials for OFE trainings and events.

Keep and circulate detailed meeting minutes upon request.

Event and Administrative Support

Participate as a member of the OFE Administrative Team (Assistant Dean, Assistant Director, Program Operations Specialist), helping to set agendas for and facilitate OFE team meetings.

Represent the SSW and OFE at community events with school pride and professionalism.

Provide logistical support to planning committees for OFE community partner events, including marketing, registration, procurement, catering, budget tracking and day-of event coordination.

Create and distribute CEU and Clock Hours certificates to field instructors and/or training attendees, in compliance with Washington State requirements.

Track and reconcile OFE expenditures, including purchases made through the ProCard for OFE faculty and staff.

In addition to tasks noted above, the Program Coordinator may be assigned other duties by the Assistant Dean of Field Education within the scope of the position and program.

MINIMUM REQUIREMENTS

High school graduation or equivalent AND two years of experience in data/website management and/or communications. OR equivalent education/experience.

DESIRED QUALIFICATIONS

Bachelor’s degree.

Strong proficiency in website management, including content updates and digital communications.

Strong proficiency in data entry, management and reporting using cloud-based software applications.

Strong oral and written communication skills.

Ability to manage time and tasks independently, including in a telework setting.

Ability to track details across a variety of projects in a fast-paced setting.

Interest in working with highly diverse students, faculty, staff and community partners.

Values that align with the UW School of Social Work mission and values, centering inclusion, anti-racism and advocacy for socially marginalized communities both locally and globally.

Patience, compassion and understanding for all OFE stakeholders.

Background and experience in human services, social work or related field.

Background and experience working in higher education.

Experience with Canvas, Element 451 and/or Exxat.

Familiarity with Washington State geography, populations, and social and health service providers.
