Position Information

Position Title: Communication Specialist

Status: Full Time

Job Summary

The Communications Specialist is primarily responsible for operating the Microsoft telephony software, Microsoft Teams, and other associated equipment to receive, transfer, and transmit calls, and transmits messages. Reporting to the Assistant Director of the Office of Information Technology, this position is the primary initial contact and representative of the University to the public.

Responsibilities

  • Perform related clerical tasks and duties as required or assigned.
  • Complete calls to outside lines and transfer incoming calls as required.
  • Capture call data and run reports daily of calls as assigned.
  • Initiate additions or deletions to the University internal Telephone Directory.
  • Train new part-time or full-time staff, faculty (including student workers) as assigned.
  • Provide caller information for meetings and other special events.
  • Review requests for telephone training and assist new staff in telephone system use, including setup and maintenance of voicemail.
  • Distribute, train, and process requests for cellular phones and desk phones.
  • Perform other related duties as required.

Qualifications (Education, Experience, and Specialized Training)

  • Associate’s degree with five (5) years of customer service experience, or an Undergraduate Degree in any discipline with three (3) years of customer service experience.
  • Experience in Microsoft Windows operating systems, Office 365, Outlook, Microsoft Teams, and proficiency in Excel for reports. Familiarity with other devices such as Apple laptops and smartphones (both Android and iOS) is required.

  • Ability to work and communicate patiently and politely with parents, students, faculty, staff, and administration in a higher education environment.
  • Ability to manage call queue, auto attendant, recording, transcription, and transfer between devices.
  • High ethical standards and the ability to maintain the confidence of others while working in a dynamic atmosphere.
  • Strong verbal communication skills and a welcoming demeanor and tone of voice.
  • Intermediate level technical computer skills (MS Office Suite) to work and communicate effectively with advanced customers and technical support staff.
