Position Purpose
Reporting to the Associate Dean of Libraries for Research and Learning, this position provides facilities, security, and emergency planning management for the Baker-Berry, Rauner, and Sherman Libraries, and the Library Collections and Services Facility. The Library Facilities Manager serves as the Libraries’ project manager for renovation and construction projects, keeps library staff and key stakeholders updated on any facility-related changes and projects, and creates a welcoming environment by embedding diversity, equity, and inclusion policies and practices into their work whenever applicable.
Required Qualifications
Education and Experience: Bachelors or equivalent combination of education and experience.
Skills, Knowledge and Abilities:
- Three years experience with facilities management, procedures, and principles
- Substantial project and space management experience
- Strong organizational skills and attention to detail
- Experience prioritizing multiple tasks and meeting competing deadlines
- Ability to work independently and in a team environment
Preferred Qualifications
- Experience with university, campus operations, and related policies and procedures
- Emergency or security management experience

Job Responsibilities
Develops and implements policies, procedures, and programs essential for maintaining library facilities:
- Works closely with Facilities Operations & Management, Project Management Services, Safety & Security, and outside contractors to investigate, evaluate, prioritize, and coordinate maintenance, renovations, construction, and long-term projects.
- Manages the procurement of furnishings and building signage.
- Places service requests and tracks the progress of work orders; obtains cost estimates when needed and sees work orders through to a timely completion.
Serve as the Libraries’ project manager for facilities projects:
- Participates in long-term strategic planning with senior library administration on renovation and construction projects; implements, oversees, and provides updates about the projects; ensures that library-funded projects stay within budget; leads assessment after project completion.
Oversees the security of the Libraries’ facilities:
- Manages access control and programming for a complicated building complex.
- Identifies and documents facilities-related risk management issues and problems and ensures that all potential liability problems are addressed.
Serves on the campus Emergency Planning Group:
- Disseminates information to Library administration and staff as needed.
- Leads the Libraries’ (non-collection related) emergency/disaster planning processes and documentation and organizes staff training.
- Performs regular reviews to ensure response readiness and effectiveness.
Serves on committees and task forces as appropriate:
- Stays up to date on current practices in library/museum facilities and security management through professional publications, contact with colleagues at other institutions, and attending professional meetings and conferences.
Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
Performs other duties as assigned.
