We are seeking a highly motivated Project Coordinator to join our dynamic Creative Team. The Project Coordinator is a multi-faceted role, working in support of executive leadership and managers of the Creative and Marketing teams in the production of initiatives to develop and promote our multiple lines of luxury personal-care goods. We are looking for candidates who are passionate about taking projects from beginning to end to create something extraordinary in the product development, digital, print, and marketing landscape.
Our ideal candidate will be able to develop long-term plans, break down action items, administer creative and marketing assignments, monitor timelines, and be comfortable handling various changing tasks. Familiar with creative and production processes for design, digital, and marketing, you'll know how to ask the right questions in order to provide all the necessary information to the team and be hands-on in a pinch. You'll have exceptional collaborative skills and experience with project management software. You'll thrive in a fast-paced environment and manage multiple projects effortlessly with your resourcefulness and creative problem-solving skills.
The Role:Provide project management & administrative support to the Creative and Marketing departments.Responsible for understanding project scope, scheduling, and defining requirements to inform project deliverables and budget.Create, update, and distribute project plans to key stakeholders.Coordinate project meetings and agendas. Take notes and provide debriefs to the leadership team.Schedule and track all incoming creative requests, monitor status, build timelines for approaching deadlines, and communicate updates to the department andleadership.Produce team task assignments in Trello and provide creative briefs with relevant information about parameters such as aspect ratios, dimensions, file types,delivery dates, content information, etc.Balance and prioritize requests from numerous teams.Manage creative assets: organize, communicate with outside vendors and agencies, distribute, provide accuracy updates, etc.Proofreading.General department needs as related to all other responsibilities.Distribute sales and marketing collateral to vendors and remote staff.Collaboration with external agents.Reviewing expense reports and receipts.Participate in team meetings to collect feedback, insight, and key business objectives to guide creative execution.Coordinate and support events by managing creative requests, staff support, supplies, and logistical details.Qualifications:
3-5 years experience at an agency, creative studio, or comparable environment.Bachelor's degree in Communication, Marketing, or Design.Strong skills in MAC & Microsoft Office, and Google Workspaces.Proficiency in Adobe Suite.Experience with Trello or other project management software.Marketing understanding and project coordination skills.Enthusiasm and ability to learn new software and processes.Strong organizational skills, detail-oriented.Methodical, meeting deadlines, on-time delivery.Ability to decipher information and clearly communicate written and verbal specifications, design, and strategic parameters.Team player who works collaboratively toward the bigger picture.Self-starter who can work well independently.Ability to multi-task and appropriately prioritize assignments. Flexibility with changing priorities.Familiarity with creative processes (digital, photo, video, print, production) and marketing initiatives (email, social, paid advertising) in order to understand incoming requests and production requirements.Ability to build relationships and work well with many different teams and personalities.Solution-oriented thinker.Ability to gracefully receive constructive feedback and direction to refine perennial project plans and execution.Passion for creative and beauty industries.Skills that are a plus but not required:
Marketing, Design, or Photography experience.
