POSITION SUMMARY
Provides administrative and sales support to achieve and exceed the sales and move-in goals for the community. Provide services and conveniences to moves made by future residents to the Community from pre-move to post move-in responsibilities. Serve as the liaison between the future resident and the third-party provider. Meet pre-determined move-in goals and follow procedures in lead tracking and record-keeping for all leads and depositors as required by the Community.
PRIMARY RESPONSIBILITIES
The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

Administrative duties to include the following: prepare and distribute reports and mailings; maintain files; and keep time, expenses and commission sheets for all sales staff and personnel
• Operate and administer CRM database
• Plan and manage social media platforms
• Distribute mailings to individuals on the mailing lists
• Assist in providing tours of the community to prospective residents and applicants as needed, including any open houses or special functions related to sales and/or marketing
• Order office supplies, postage, petty cash and other supply inventory
• Coordinate and complete special project assignments
• Ensure accurate documentation and administration of expenditures including reconciliation of financial accounts (petty cash)
• Organize and prioritize office duties with ability to be flexible with assignments and to assist other team members
• Type, collate and distribute all correspondence and other materials deemed appropriate by sales staff in a timely manner
• Organize, coordinate and assist in planning of special events, including weekend events
• Maintain accurate and timely data-based records
• Prepare accurate reports produced by the CRM
• Facilitate the actual move, contact reputable vendors/dealers, receive price lists and associated services, and provide this information to the resident for his/her choice.
• Compilation of the Move-In Guide-a list of vendors, helpful hints for depositors to use as a resource in making the move to the senior living community.
• Provide price lists from vendors/contractors for interior planning, assist in space planning and transferring utilities.
• Manage number of move-ins per day for coordination purposes; inform operations of scheduled move-ins; organize and publish a weekly move-in report.
• Complete forms and receive payment of resident deposit.
• Coordinate additional help during move including parking for moving truck, padding for elevator, placement of furniture for new home in the community, as well as greet the new resident.
• Greet new resident and family upon arrival and follow-up after the move-in by orienting the new resident to the Community and other department heads.
• Complete closing documents, coordinate appointment with management personnel for signing of the closing documents.
• Perform a walk thru and coordinate with contractors and/or community maintenance personnel any work that needs completion prior to depositor/resident walk thru.
• Perform a final walk thru with depositor/resident prior to closing.
• Act professionally and honestly at all times in the representation of the Community concept of senior living.
• Other duties as assigned by Supervisor.

EDUCATION AND EXPERIENCE REQUIRED
• Bachelor's degree; or equivalent experience.
• One to two years in apartment make-readies involving customer service a plus.
