PRIMARY RELATIONSHIPSThis position collaborates with Principals and the Marketing Studio to set proposal outlines and deadlines within the firm. The position coordinates with consultants, organizations, marketing departments and leaders from existing or potential firms.
PRINCIPLE ACCOUNTABILITIESAccountable in two key areas: Delivery of proposals/interview presentations and marketing coordination of boilerplate marketing collateral (Masters)PROPOSALS AND INTERVIEW PRESENTATIONS
Carefully analyze RFQ/RFP requirements, coordinate with consultants and project team, and work closely with Principal-in-Charge/Associate to compose submittal requirements while meeting internal deadlinesWrite non-technical portions of proposals and evaluate technical content to ensure RFP criteria are satisfied and promote Firm's services with clear statements of valueCreate and/or select diagrams, tables, charts, and other graphics to clearly communicate required informationCollect, verify, update, and standardize project and personnel dataCollect and maintain consultant database informationResponsible for final proofing and on-time delivery of document(s) via FedEx, courier, or hand delivery to requesting party. Responsible for properly archiving materialsSupport business development needs by providing qualifications and brochures as needed
MARKETING COORDINATION
Update/maintain information on marketing boilerplate materials while keeping folders and files organized. Inform Marketing Studio on new updatesAssist collecting written project descriptions and technical information from internal/external teamsEnsure boilerplate files include the most recent edited text and approved graphics/photographyMonitor various RFP/RFQ list-servers and websitesAssist in proofreading/editing materials for spelling, grammar, clarity/coherence, branding standards, and quality of contentAssist in obtaining permissions to use new project graphics, imagery, and textAssist in web update/maintenance, email, social media content/posts, licensure as necessaryProvide occasional general firm administrative supportdevelop marketing collateral materials
QUALIFICATIONSBachelor's degree preferably in a business, marketing, communication, technical, or other related field2-5 years experience preferably in the AEC industry, creative environment a plusDemonstrated skills in the design and production of proposals, presentations, and collateralMust be responsive to time-sensitive deadlines and unforeseen needs from Leadership TeamAble to efficiently perform multiple tasks and organize workload assignments in a fast-paced environment with time-sensitive deadlinesStrong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies both internally and externallyStrong proficiency in layout skills and image selectionExcellent writing/editing and communications skillsGood problem-solving skills and an eye for detailKnowledge of database conceptsProficient with Adobe design software package including, InDesign, Photoshop, Illustrator, Acrobat; and Microsoft Office including, Word, Excel, PowerPoint, Outlook
