Description
Flatter is seeking a full-time Event Planner to support the Department of the Air Force. Flatter provides leadership development for Air Force (AF) Total Force General Officers (GO), Civilian Senior Executives (CSE), Colonels (Col), Chief Master Sergeants (CMSgt) and General Schedule (GS) 15s or equivalents civilians.
Duties & Responsibilities
- Manages the planning and execution for a variety of custom courses, meetings and course-related events.
- Prepares and delivers pre-event support, e.g., site selection process; forecasting/budget planning and tracking; vendor negotiation; registration/information web site development; speaker scheduling; learning material/handouts preparation; lodging coordination; logistics planning.
- Coordinates the organization of on-site staff, subcontractors and vendor employees to ensure efficiency.
- Provides on-site support, e.g., logistics; Audio-Visual, lodging POC, food and beverage; on-site registration; speaker assistance; attendee departure process.
- Supports efforts to identify, evaluate, negotiate and acquire meeting facilities and supporting resources for senior leader events/course in federal, private or public spaces.
- Coordinates and advises on government orders/travel requests and guidelines/policies.
- Provides wrap up support, e.g., invoice tracking, reconciliation and payment; reporting and final closeout activities.
- Assists in facilitating weekly review meetings with the Client/senior leaders, i.e. itinerary, attendance update, progress status and to anticipate any challenges.
- Provides speaker introductions and assists in course facilitation as needed.
- Works closely with all facets to ensure total customer satisfaction.
- Develops action plans to complete projects that improve services and customer satisfaction.
- Builds and maintains positive working relationships with Air Force clients, staff, other military service POCs, and learning institution staff members.
Requirements
Travel Required
This position requires work to be performed in multiple locations to include Fredericksburg, VA, the Pentagon (Arlington, VA), and telework, along with travel to various course/event locations.
Must reside in DC, MD, or VA.
Required Education/Experience
- 1-3 years education and or event planning experience.
- Knowledge of Microsoft Office Suite.
- Basic knowledge of military protocol.
