The Department Administrator, Department of Communication Sciences and Disorders will support the department's day-to-day operations and growth inclusive of all modalities and program levels for current and future academic offerings. In partnership with internal and external stakeholders, the Department Administrator will be responsible for supporting and executing key administrative functions that include planning and logistics, resource management, budgetary management, accreditation, recruitment, student and customer service, public-facing activities, and website maintenance. The Department Administrator serves as the liaison with the American Speech-Language-Hearing Association (ASHA) for continuing education workshops and will be responsible for supporting accreditation visits, guest lectures, new employee hires and serving as a primary point of contact for department faculty, staff and students.

Budget and Financial Management
  • Partner with the Chair to oversee the department budget, analyzing and monitoring expenses, submitting quarterly projections and processing financial transactions.
  • Prepare budgetary analysis and reports for CAA, ASHA annual reporting, self-studies, on-site accreditation visits, and other accreditation and compliance purposes.
  • Manage invoices and payments for external vendors.
  • Manage and coordinate the department's annual subscriptions, assessing usage and informing budget increases.
  • Maintain inventory of supplies and equipment, identifying needs, and making fiscal purchases.
  • Support department members with financial processes including spend authorizations, reimbursements, coordination of travel, and authorized purchases on others' behalf, etc.
  • Inform and manage central repositories of financial resources and reference guides for department faculty and staff.
  • Support faculty with managing budget funds received from external sources (e.g., grants, awards).
Accreditation, Compliance, and Reporting
  • Secure, organize, and oversee accreditation and compliance documentation for reporting submission.
  • Serve as the liaison "Continuing Education (CE) Administrator" with the American Speech-Language-Hearing Association (ASHA) for Emerson's CSD continuing education programs.
  • In collaboration with department leadership, collate and prepare information for report submissions.
  • Schedule meetings, take attendance and minutes that support accreditation criteria, and prepare and distribute materials and resources prior to and following meetings.
  • Partner with Human Resources, Finance, Web Services and Academic Affairs to ensure the department is meeting compliance standards.
  • Manage digital compliance projects that require archival, digitization, destruction, and organization of folders and documents.
Administrative and Operational Support
  • Utilize multiple databases and enterprise platforms (e.g., Banner, WorkDay, Argos, Salesforce) to maintain accurate records and analyze reports.
  • Document and maintain administrative and operational processes, procedures, and a calendar of annual and semester department and program functions and tasks.
  • Manage department calendars, conference rooms, and associated internal and external communications.
  • Coordinate, arrange, and support program and department event logistics, including but not limited to, Immersion, hooding ceremonies, orientations, etc.
  • Coordinate with business vendors and College offices to purchase, install, maintain, repair, and replace office equipment.
  • Place and oversee job orders to maintain and improve CSD facilities.
  • Coordinate the logistics of faculty and staff recruitment, hiring, and onboarding initiatives.
  • Relay updates and information from College departments to faculty and staff.
  • Inform and maintain resources for administering hybrid and virtual meetings and interviews to ensure department inclusion.
Communications and Public Relations
  • Support department leadership with auditing and updating the CSD website.
  • Oversee the management of the CSD department social media pages.
  • Manage department resources, information, and communications including, but not limited to newsletters, central hubs, Google Drives, promotional materials, videos, etc.
  • Collaborate with the Alumni Office to foster CSD alumni relations.
  • Collate, organize, and analyze program and department survey data.
Academic and Student Support
  • Collaborate with leadership to manage over-enrollments and special permissions.
  • Support program leadership with developing course schedules by leveraging work plans, historic trends and data.
  • Support comprehensive exam proctoring.
  • Coordinate the recruitment of student workers for the department's activities, including but not limited to research, admissions interview weekend, front desk, auditing, and ushering departmental activities.
  • Oversee student workers' hours and cadence of activities.
  • Performs other related duties within the scope of the position as required for the efficient operation of the department and to support institutional objectives.
QUALIFICATIONS - Qualifications are deemed required or preferred and represent what is needed to effectively perform job.
  • Associate's Degree required, Bachelor's degree from an accredited institution preferred.
  • 3-5 years of higher education or business administration experience (operational, finance and/or office) required.
  • Experience working across functional teams with various stakeholders in academic and/or administrative business environments required.
  • Experience managing heavy volume in a deadline-driven environment, and the ability to manage multiple timelines.
  • Experience with Microsoft Office, Adobe, and Google Suite and webinar technology, familiar with Microsoft Office, Google Suite, Zoom, and presentation software to support remote work and learning.

  • Exceptional accuracy and attention to detail is required.

  • Excel skills manipulating spreadsheets (pivot tables, V look-ups, charts).
  • Experience managing budgets and payment processes.
  • Ability to devise solutions with limited information and use experience or precedence to resolve issues.
  • Proficiency in using computer software and the ability to learn new software easily.
  • Strong organizational skills and ability to follow through on tasks and requests by working independently and with a high self-sense of accountability.
  • Excellent customer service and interpersonal skills with personnel at various levels.

  • Self-starter with excellent interpersonal communication and problem-solving skills.

Compensation: $52,000.00 - $62,450.00 annually, commensurate with experience.

Grade of Position: S-23-06E

Scheduled Weekly Hours: 36.25

Division:

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
