Event Planner, Fundraisers

JOB PURPOSE :
The Event Planner, Fundraisers supports the goals of the Museum through the successful execution of elevated fundraising events; member cultivation events; Executive, Trustee, & VIP events as well as external event rentals as assigned. Adept at managing budgets and expense expectations to maximize net profits for the institution. Ensures the smooth execution of large, complex events which include multiple vendors, committees, and priorities.
Key Accountabilities/Essential Functions
Event Management: Oversees all aspects of event planning and management of assigned internal and external billable events, meeting strict deadlines and budget demands. Specializes in managing elevated fundraising events, member cultivation events, Executive, Trustee, & VIP events, and assigned external event rentals. Works closely with volunteer committees, and a variety of internal and external vendors or stakeholders.Fiscal Management: Responsible for appropriate fiscal management of a robust, strategy-driven elevated events calendar. Manages expenses and revenue to ensure alignment with fundraising goals and net profit expectations.Event Planning: Organizes all details for the event including logistics, food service planning, entertainment, décor, and staffing. Utilizes the museum’s event planning software and is instrumental in evolving and refining processes for efficacy and efficiency.Knowledge Management: Develops the necessary systems, processes, and tools to better support the facilitation of assigned events and projects. Monitors the effectiveness and results of the event/project and plan adjustments, including theme/vision, budget control, supplementary meetings, and auxiliary events.Member Experience: Ensures the success of Development events through detailed planning and execution in order to enhance member satisfaction and engagement, contributing to the museum's reputation and member retention.Communication and Relationship Building: Communicates needs and expectations to internal and external stakeholders, teams, and contributors. Ensures flawless execution of each event through strong communication and a team mentality. Works closely with Development, Marketing, Graphic Design, and CRM staff to ensure philanthropic strategies and communication complement each other. Manage important relationships with key donors, committee members and organizers as they relate to elevated events.Best Practices: Stay current, and often ahead of the curve, on event planning, government regulations, design, and production trends, proactively identifying and solving operational challenges. Establish standard operating procedures or practices as needed.Other – Coordinates external events as assigned and completes all other duties as requested in support of the division and general institution.

Experience
Bachelor’s degree in related field or equivalent combination of education and experience.Three or more years’ experience in event planning, non-profit development, fundraising, and/or working with volunteer committees.The ability to handle a variety of constituencies, manage multiple tasks simultaneously and thrive in a complex environment with multiple priorities with a high level of professionalism.Intermediate to advanced proficiency with a variety of technologies and software programs.Ability to work a flexible schedule including evenings, weekends and holidays.Strong analytical and critical-thinking skills; basic business acumen.

Hours/Travel Expectations
Hours will vary based on event dates/times. General work week is Monday to Friday. Will frequently work after hours, weekends, and holidays to complete work assignments and/or attend work-related events/programs.
